Privacy Policy

This privacy policy explains how AKIN processes personal data when you visit this website, contact us, subscribe to our newsletter, request one of our documents, or apply for a position. We process personal data in accordance with the EU General Data Protection Regulation (GDPR).

1. Who we are

The controller for the processing described in this policy is AKIN Solutions B.V., registered with the Dutch Chamber of Commerce (KvK) under number 89069463, operating as AKIN.

This policy covers akin.bio, and it covers akin-solutions.com for as long as that address redirects here.

We have not appointed a Data Protection Officer. If you have a question about this policy, or about how we handle your personal data, email us at info@akin.bio and it reaches the people responsible for it.

2. What personal data we collect

  • Contact form, email and phone. Your name and contact details, your organisation if you give it, the topics you select, and the content of your message. Brevo delivers what you send to our mailbox as an email notification; section 5 says what that means.
  • Newsletter sign-up. Your name and contact details, your organisation if you give it, and a record of when and how you subscribed, because we have to be able to show that you asked for it.
  • Whitepaper request. Your name and contact details, your organisation if you give it, and which document you asked for. Requesting a document does not subscribe you to our newsletter. That is a separate choice, and you have to make it yourself.
  • Job applications. Your name and contact details, where you live, what motivates you to apply, and the answers to the questions the form asks, including whether you require visa sponsorship and whether you have Dutch work authorisation. You attach a CV, and you can attach further documents such as a portfolio, cover letter or certificates; we receive everything those files contain. Brevo delivers all of it, attachments included, to our careers mailbox; section 5 says what that means.
  • Website measurement. We measure how this website is used with Plausible. Section 8 explains exactly what it does and does not collect.
  • Technical data. To serve you this website our hosting provider, Scalingo, necessarily receives technical data such as your IP address, your browser type and the pages you request. Scalingo does not keep an access log of these connections, so no record of them is created.
  • A record of each submission. When you submit a form we log that it happened. If the email it generates fails to send, that log also keeps the address you gave, so a lost enquiry or application can still be traced to you. Section 4 says how long we keep it.

You are not required by law or by contract to give us any of this. Some fields have to be filled in before a form will send, and if you leave them out we cannot do the thing you are asking for: without an email address we cannot reply to you, send you a document, or consider your application.

We do not use advertising trackers, we do not share your data for advertising, and we do not build profiles of visitors.

3. Why we process your data and on what legal basis

  • Responding to your enquiries (contact form, email, phone) – processed on the basis of our legitimate interest in responding to messages addressed to us (Art. 6(1)(f) GDPR), or to take steps at your request prior to entering into a contract (Art. 6(1)(b) GDPR).
  • Sending the newsletter – processed on the basis of your consent (Art. 6(1)(a) GDPR). You can withdraw your consent at any time; every issue includes a way to unsubscribe, and you can also email us.
  • Sending you a document you requested – processed on the basis of your consent (Art. 6(1)(a) GDPR). Your request is that consent: you ask us for the document, and sending it to you is what we do in reply. That form asks you nothing about the newsletter, so requesting a document cannot subscribe you to it.
  • Handling job applications – processed to take steps at your request prior to entering into an employment contract (Art. 6(1)(b) GDPR). Section 4 sets out when we delete an application, and when we ask you about keeping it.
  • Website measurement – processed on the basis of our legitimate interest in understanding how our website is used so that we can improve it (Art. 6(1)(f) GDPR). Section 8 sets out what Plausible does and does not record.
  • Keeping the website secure and available (technical logs) – processed on the basis of our legitimate interest in operating and protecting our website (Art. 6(1)(f) GDPR).

We do not make decisions about you by automated means, and we do not profile you.

4. How long we keep your data

  • Enquiries and document requests: we keep them for as long as the conversation is live, and for as long as any working relationship they led to continues.
  • Newsletter: we keep your subscription until you unsubscribe or ask us to remove you. After that we keep your email address on a do-not-contact list, because that is the only way we can be sure not to email you again, and we keep the record of when and how you subscribed alongside it, because we have to be able to show that you asked for it.
  • Job applications: when we send you a rejection, we delete your application and the documents you attached to it. If we would like to keep your details on file for a future opening, we ask you in that same email, and we keep them only if you reply to say yes.
  • Server logs: our hosting provider keeps them for one year.

5. Who we share your data with

We share personal data only with providers that help us run this website and our communications, and only under a data processing agreement:

  • Website hosting: Scalingo, which runs this website in its Paris region (osc-fr1), operated by 3DS Outscale. Application hosting is entirely in France. Scalingo also uses providers of its own for its account, billing and support systems, which its data processing agreement names as Cloudflare, Intercom, PayPal and Stripe, and some of those operate from the United States, so hosting this website in France does not by itself keep every part of the service inside the EEA.
  • Newsletter delivery: Brevo, the trading name of the French company Sendinblue SAS, which sends our newsletter.
  • Whitepaper delivery: Brevo, which sends you the document you requested. It is the same Brevo account that sends our newsletter.
  • Business email: Microsoft. The info@ and careers@ mailboxes run on Microsoft 365, so everything you send to those addresses is stored there, including a CV and the rest of an application.
  • Contact form delivery: Brevo, which emails us what you send through the form. It is the same Brevo account that sends our newsletter and our whitepapers.
  • Job application delivery: Brevo, which emails us your application together with everything you attached to it, including your CV. It is the same Brevo account that sends our newsletter, our whitepapers and our contact-form notifications.
  • Website measurement: Plausible, which measures how this website is used. Plausible acts as our processor: its data processing agreement states that we are the data controller and that Plausible is our processor, and it takes effect through our use of the service rather than by a separate signature.

We may also disclose personal data where we are legally required to do so.

6. International data transfers

We choose providers that process personal data within the European Economic Area (EEA) where we can. Some of our providers are established outside the EEA, or use sub-processors outside it, including in the United States and India. Where personal data leaves the EEA we rely on an adequacy decision or on the European Commission’s Standard Contractual Clauses, with supplementary measures where those are needed. You can ask us for a copy of the safeguard we rely on, or where to consult it, by emailing info@akin.bio.

7. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data rectified;
  • have your data erased;
  • restrict the processing of your data;
  • receive the data you provided to us in a portable, machine-readable format;
  • withdraw consent at any time, without affecting the lawfulness of processing before the withdrawal.

Some of these rights only apply in certain situations: the right to erasure has exceptions, for example, and the right to a portable copy covers only data you gave us yourself. If a right does not apply to your request, we will tell you why.

Your right to object. You can object at any time to processing we base on our legitimate interests, and we will stop unless we have compelling legitimate grounds that override your interests. If you object to receiving direct marketing from us, including our newsletter, we will stop straight away and there are no exceptions to that.

To exercise any of these rights, email us at info@akin.bio. We answer within one month. You also have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

8. Cookies and website measurement

This website does not use cookies that ask for your consent, and you will not see a cookie banner.

We do want to know which pages people read and whether the site works, so we measure it with Plausible, an Estonian company. What it records about your visit is processed on servers run by Hetzner in Germany, UpCloud in Finland and Bunny in Slovenia. It is built so that it cannot identify you:

  • it does not place cookies and stores nothing in your browser;
  • it does not store your IP address, but it does use it. Your IP address and your browser and device details are combined with a secret that is deleted and replaced every 24 hours to work out a short code, so that a returning visit can be told apart from a new one within a day. Once that secret is replaced the code cannot be worked out again, so it cannot recognise you the next day; and because the website’s own address goes into it, the code is different on every website;
  • it does not track you anywhere else, and we never use this data for advertising or profiling.

We use it only to measure how our own website performs, not for marketing, not for profiling, and never combined with data from other sources. Section 7 sets out the rights you have, including your right to object.

No consent banner is required for this. We place no cookies and store nothing in your browser, the measurement tells us only how our own website performs, and the short code described above cannot be used to recognise you beyond a single day or on any other website.

Apart from this, only strictly necessary technical storage required to serve the site may be used. If we ever add measurement, advertising or other techniques that do need your consent, we will update this section and ask you first.

9. Children

This website is aimed at professional audiences and is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

10. Changes to this policy

We may update this privacy policy from time to time, for example when our services or providers change. The “Last updated” date at the top of this page shows when it was last revised. Significant changes will be announced on this website.
